1. Company Information
Apex Hills Ltd provides transport, courier, removals, waste collection, and logistics services throughout the United Kingdom.
We operate in accordance with:
UK Road Traffic Legislation
The Data Protection Act 2018
UK GDPR
HMRC VAT Regulations
Waste Carrier Regulations (where applicable)
Licence and insurance details are available upon request.
2. Quotations
2.1 All quotations are based strictly on the information provided by the customer.
2.2 Quotes are valid for 7 days unless otherwise stated.
2.3 Any change to the following may result in a price adjustment:
Volume or weight
Number of items
Type of waste
Access conditions
Distance
Waiting time
Additional stops
Undeclared specialist items
2.4 Apex Hills Ltd reserves the right to re-quote if inaccurate or incomplete information is provided.
3. Deposits & Booking Confirmation
3.1 A 20% non-refundable deposit is required to secure all residential bookings.
3.2 Commercial clients may operate under agreed credit terms.
3.3 Bookings are only confirmed once deposit/payment is received.
3.4 The remaining balance must be paid:
Before unloading (residential jobs)
Within agreed invoice terms (commercial clients)
3.5 We reserve the right to retain goods until full payment is cleared.
4. VAT
4.1 All prices are subject to VAT where applicable.
4.2 VAT will be clearly itemised on invoices.
4.3 If VAT status or rates change, pricing may be adjusted accordingly.
5. Removals Services
5.1 Customers must ensure:
Accurate item declaration
Safe and clear access
Parking permits arranged
Fragile/high-value items declared
5.2 Packing is the customer’s responsibility unless purchased as a service.
5.3 Additional charges may apply for:
Long carry distances
Stair access
No lift access
Undisclosed dismantling/assembly
Additional items
Waiting time
5.4 We do not transport:
Cash
Jewellery
Firearms
Illegal goods
Hazardous materials (unless agreed)
Perishable goods (unless agreed)
6. Waste Collection Services
6.1 Apex Hills Ltd operates under a valid Waste Carrier Licence.
6.2 Customers must accurately declare:
Waste type
Volume
Hazard classification
6.3 We reserve the right to refuse undeclared hazardous waste.
6.4 Customers confirm they are legally entitled to dispose of the waste.
6.5 Additional charges apply where:
Volume exceeds booking
Waste type differs
Hazardous materials are discovered
7. Courier & Light Freight Services
7.1 Delivery times are estimates unless contractually guaranteed.
7.2 Delays caused by traffic, breakdowns, weather, or road closures are not grounds for compensation.
7.3 Failed deliveries due to lack of access will incur redelivery charges.
7.4 Pallet deliveries require suitable unloading facilities unless a tail lift is requested.
8. Subcontractors
8.1 Apex Hills Ltd may appoint approved subcontractors to complete services.
8.2 All subcontractors are required to hold:
Goods in Transit Insurance
Public Liability Insurance
Appropriate motor insurance
8.3 Where subcontractors are used, liability may be limited to the subcontractor’s insurance cover.
8.4 Apex Hills Ltd is not liable for third-party operational delays outside reasonable control.
9. Insurance & Liability
9.1 We carry Goods in Transit Insurance up to £50,000 per vehicle unless otherwise agreed.
9.2 Liability is limited to the lower of:
Repair cost
Replacement value
Insurance policy limit
9.3 We are not liable for:
Pre-existing damage
Poor packing not carried out by us
Mechanical/electrical failure without external damage
Indirect or consequential losses
Loss of profits or business interruption
9.4 Claims must be reported within 24 hours in writing with supporting evidence.
10. Waiting Time
10.1 30 minutes grace period unless otherwise agreed.
10.2 Thereafter charged at £50 per hour.
11. Vehicle & Fleet Operations
11.1 Vehicles are maintained to roadworthy and compliant standards.
11.2 We reserve the right to substitute vehicle size if operationally required.
11.3 Vehicles may operate with:
Branding
Tracking systems
Dash cameras
11.4 Mechanical breakdowns, though rare, may cause unavoidable delays.
12. Parking, Fines & Access
12.1 Customers must arrange suitable parking.
12.2 Any fines incurred due to lack of permits or customer instruction will be recharged.
13. Fuel & Long-Distance Charges
13.1 Rates may be adjusted if fuel prices increase significantly.
13.2 Long-distance jobs may include return mileage charges.
14. High-Value Items
14.1 Items valued above £1,000 must be declared prior to booking.
14.2 Failure to declare high-value items may void liability.
15. Cancellations
More than 48 hours: Deposit retained
Under 48 hours: Up to 100% charge
Same-day cancellation: Full charge may apply
16. Commercial Contracts
16.1 Separate contractual agreements may apply to long-term commercial clients.
16.2 Minimum daily charges may apply.
16.3 Late payments may incur statutory interest and recovery costs.
17. Refusal of Service
We reserve the right to refuse service where:
Staff safety is compromised
Abuse or threats occur
Illegal goods are discovered
Payment terms are not agreed
18. Force Majeure
We are not liable for events beyond our control including:
Weather
Accidents
Government restrictions
Fuel shortages
Industrial action
19. Data Protection & GDPR
19.1 Apex Hills Ltd complies with UK GDPR and the Data Protection Act 2018.
19.2 We may collect:
Names
Addresses
Contact details
Payment details
Vehicle registrations
Job information
CCTV or tracking data
19.3 Data is processed under lawful bases including:
Contractual necessity
Legal obligation
Legitimate interest
Consent (where applicable)
19.4 Data may be shared with:
Subcontractors
Insurers
HMRC
Waste authorities
Accountants
Debt recovery agents
19.5 We do not sell personal data.
19.6 Records are retained in accordance with legal requirements (minimum 6 years for VAT records).
19.7 Customers have the right to:
Access
Rectify
Erase (where legally permitted)
Restrict
Object
Lodge a complaint with the ICO

20. Governing Law
These Terms & Conditions are governed by the laws of England & Wales.
